ERP / XML / API Integrations

eShop integrations with ERP and XML feeds, built as controlled data flows.

We connect WooCommerce, OpenCart and custom commerce with ERP, suppliers and business systems so products, stock, prices and orders move through defined and observable rules.

When integration becomes necessary

When the same data is maintained in more than one system.

Automation creates value when it reduces manual work without concealing failures. We begin with real data, exceptions and the way the team actually operates.

  1. 01

Updates still depend on files and copy-paste

Products, prices, stock or orders are moved manually between systems, adding delay and increasing the chance of error.

  2. 02

The store and ERP show different information

Customers see availability or pricing that does not match the commercial system, forcing the team to check every order.

  3. 03

XML feeds need rules and validation

Supplier sources use different fields, categories, identifiers, images and update schedules that cannot be imported reliably without mapping.

  4. 04

    Catalogue growth strains daily operations

As products, channels and suppliers increase, fragmented tasks become a barrier to fulfilment and commercial growth.

Integration capabilities

Every data flow has a direction, frequency and rule set.

We do not assume everything should synchronise everywhere. We define what the store needs, what updates the ERP and where a person should approve an exception.

01

Products, categories & attributes

Mapping for identifiers, titles, descriptions, categories, variants, images and technical attributes.

02

Prices, discounts & availability

Controlled updates for retail or B2B pricing, tax rules, stock, warehouses and availability states.

03

Customers & commercial rules

Company details, customer groups, price lists or credit restrictions where the systems and business process permit them.

04

Orders & fulfilment status

Orders sent to the ERP, with relevant confirmations, document numbers, shipment details or fulfilment states returned to the store.

05

Supplier XML feeds

Importing, transforming, merging and scheduling data from one or more external product sources.

06

APIs, files & automation

The right method may be a REST API, webhook, XML/CSV file, SFTP or scheduled task, depending on the systems available.

Architecture before the connector

An integration is not a single “sync” button. It is an operational process.

We document which system updates each field, what happens when a datum is missing or changes and who is alerted when an action fails.

01

Stable identity

SKUs, IDs and connection keys prevent arbitrary matching.

02

Validate before writing

Incoming data is checked before it changes a catalogue or order.

03

Logs and alerts

Failures become visible with useful information for diagnosis and recovery.

04

Safe retries

Reprocessing is designed not to create duplicates or uncontrolled changes.

Honest integration boundaries

We do not promise “real-time” before inspecting the systems.

Integration quality depends on ERP capability, feed consistency, infrastructure and provider collaboration. These are reviewed before timings, frequencies and deliverables are agreed.

  • Automated updates do not make third-party data inherently accurate.
  • Commercial and tax rules remain subject to approval by the business and its advisers.
  • ERP configuration is not assumed to be part of web development unless explicitly agreed.
  • Ongoing monitoring and support are defined separately from the initial implementation.

From systems to a stable flow

Five stages before automation is trusted with daily operations.

Validation uses representative records and agreed scenarios, not only one successful test request.

  1. 01

    Inventory systems and data

We review the ERP, store, feeds, sales channels, available interfaces and technical contacts.

  2. 02

    Map fields and rules

We define where each datum is maintained, how it is transformed and which exceptions require human approval.

  3. 03

    Prototype in a safe environment

Representative products and orders are tested without disrupting the live store.

  4. 04

    Test normal flows and failures

We verify duplicate records, incomplete data, identifier changes, connection loss and safe retries.

  5. 05

    Controlled release and monitoring

Flows are enabled in a considered order, with useful event logs and a defined alert route when intervention is required.

FAQ

Frequently asked questions about ERP, XML and eCommerce integrations.

Specific answers about technical feasibility, data, responsibilities and daily operation.

Can you connect any ERP to an eShop?

We first check whether the ERP provides a suitable API, connector, file export or another technically safe interface. The depth of an integration depends on the version, provider, licences and quality of available data.

Do you connect WooCommerce and OpenCart with ERP systems?

Yes. We build integrations for WooCommerce, OpenCart and custom commerce when the ERP and store installation provide the necessary technical access.

Are updates always real-time?

Not necessarily. Frequency should reflect the API, data volume, operational requirement and ERP constraints. Some flows need immediate updates; others are safer and more efficient as scheduled synchronisations.

What can an eShop–ERP integration include?

Common flows include products, categories, pricing, stock, customers, orders, documents and shipment status. It is rarely necessary for every datum to move both ways.

Can you import products from a supplier XML feed?

Yes. We inspect the feed structure, field quality, identifiers, images, category data and update frequency before defining import rules.

What happens if a supplier changes its XML without notice?

We design validation, error logging and alerts for incompatible input. No system can prevent every unannounced third-party change, but it can limit its effect and make the issue visible.

How do you prevent duplicate products or orders?

Stable identifiers, matching rules and idempotency checks reduce duplicate writes. Real exceptions are tested with representative records before release.

Can you take over an existing integration that is failing?

Yes. We inspect code, logs, scheduled jobs, data and real incidents to separate integration defects from issues in the ERP, store or infrastructure.

Does the ERP provider need to participate?

Usually. The ERP provider or authorised partner should confirm interfaces, permissions, fields and commercial rules. Firstidea handles the web-system side and the agreed technical coordination.

Is configuration inside the ERP included?

Only when explicitly included in the proposal and appropriately authorised. ERP configuration is usually completed by its official partner while we build and validate the connection to the store.

How is an ERP or XML integration priced?

The estimate follows a review of systems, interfaces, fields, update directions, data volume, exceptions and monitoring requirements. Field count alone does not describe the actual complexity.
